LOT AND SERIAL TRACEABILITY

Follow the lot.
See where the records stop.

When a supplier lot is questioned or a customer asks about a serial number, the answer is spread across several systems. LotTrail brings declared records from those systems together and follows the lot through what they actually record: where it was used, where it came from and what else was noted about it. Every link shows its source, and missing or late evidence stays visible. Start with a guided demonstration and an invited trial with two declared sources.

No payment or self-service sign-up. Start with a demonstration.

Recorded

Every step is a relationship your files record. Complete means complete for the admitted sources and dates, nothing wider.

Fictional examples. This illustration admits no evidence and changes no record.

A recorded path, a gap and a scan that is only context.

BUILT AROUND YOUR KNOWLEDGE

For quality and production managers who already record lot or serial numbers in more than one system and need to answer traceability questions from them.

FROM KNOWLEDGE TO A WORKING PROCESS

A trace is only as good as the records behind it.

A receipt in the ERP, a cutting record on the floor, a despatch note in another file. Joining them by hand takes hours, and a close date or a similar code is easily mistaken for a link. LotTrail follows only the relationships your records state, and says plainly where the evidence runs out.

01

Declare your sources

Name each source, its data owner, the period it covers and who may read it. Records arrive as agreed files. Each file is checked and reviewed before it is accepted, and its exact bytes are kept.

02

Follow the lot

Scan or enter a lot or serial number and choose where it was used, where it came from, what else was recorded or a timeline. Every relationship shown carries its source.

03

Review the result and its gaps

Each result states whether it is complete within the declared sources, partial or unknown. Save the run, gather runs in a case with notes and download the record for authorised people.

THE SERVICE

Exact records. Visible gaps. No guesswork.

Exact identities, kept apart

Leading zeroes, case and the source of each code are kept. The same code in two systems stays two records until a supervisor approves a link between them.

Physical paths and context, separately

Where-used and where-from views follow recorded inputs and outputs. Kit checks, procedures, label prints and courier bookings appear as recorded associations, never as consumption or shipment contents.

Coverage before conclusions

Each result states its scope before the detail. A missing record, a restricted source or a resource limit makes the result partial, never a negative answer.

Corrections without rewriting history

Late and corrected records are added rather than overwritten. A saved run keeps its original evidence, and a new run shows what has changed.

A case for each investigation

Gather saved runs, notes and an assigned reviewer in a case with an append-only history. Closing a case closes the investigation record, not a factory action.

Access by dataset

Readers are granted dataset by dataset. Saved runs, cases and downloads recheck current permission, so removing access also withholds earlier results.

RECORDED EVIDENCE, NOT INFERENCE

Only what the records say.

LotTrail follows the relationships your source files explicitly record. It does not infer a link from close dates, similar codes, scans or kit checks, and no AI reads, matches or reconstructs your evidence. Records from two systems are joined only where a supervisor has reviewed and approved that two identities are the same.

What changes: Investigations can cross from one dataset to the other through that reviewed link. Withdrawing it later adds a new decision and leaves earlier saved results as they were.

IS IT A FIT?

Start with one
clear workflow.

A good starting point

  • You already record lot or serial numbers in at least two systems or files.
  • Someone can name the data owner and permitted readers for each source.
  • You have a past case with a known answer to check the results against.

The initial scope

  • One site and declared files only, with no live connection to an ERP or other SmartFACT products.
  • Read-only investigation: no recall, hold, stock, quality or customer actions.
  • No inferred links, quantity sums, PDF packs, printing, public API or offline use.

BEFORE YOU START

A few useful answers.

Can we see it before using our own records?

Yes. Request a demonstration of the actual application with a fictional practice workshop. An invited organisation can explore the same sample before any of its own files are accepted. Sample actions change no real dataset.

Can anyone create an account?

Access is by invitation only. We agree the sources, questions and trial arrangements first, then enable your organisation and named users through SmartFACT Accounts. The enquiry form takes no payment and does not create a product account, and nobody can start a trial for themselves.

What records does LotTrail need?

Records that already capture lot or serial numbers and how they relate, such as material receipts and production or despatch records. In the trial they arrive as declared files, converted to LotTrail’s evidence format through a reviewed mapping agreed during onboarding. LotTrail has no live connection to your ERP or to other SmartFACT products.

Does it work out which lots went into which products?

Only where your records say so. LotTrail never infers a link from timing, matching codes, scans, kit checks, label prints or bookings. When a source records several outputs from one operation without saying which input went where, all of them are shown as potentially related, with no quantities divided between them.

Can it tell us a product was not affected?

Only within what was declared. Complete within the declared scope means the admitted sources, dates and permissions are complete for that question, not that every physical event in the factory was captured. A gap, a restricted source or a late record makes the answer partial.

Does it run a recall or put stock on hold?

No. LotTrail records investigations and cases. Recalls, holds, stock changes and customer notices stay in your own processes and systems, and closing a case performs none of them. It is not a regulatory or EPCIS certification tool.

Does it use AI?

No. Investigations follow recorded relationships through fixed, bounded investigation views. No AI reads, matches or reconstructs your evidence, and plain English rules and automatic investigations are not part of the trial.

What can we download?

People with the right permissions can download a saved run, and a complete record of their organisation’s retained evidence, as JSON. Each download is rechecked against current dataset access. PDF packs and printing are not part of the trial.

What does the trial cost?

Trial scope, duration, support and any charges are agreed before you begin. There is no payment on this website, and no public plans or prices are offered here.
