Prepare your LotTrail demonstration and trial

Start with fictional records, then agree two sources, a known case and the permissions for an invited trial.

This guide describes the trial scope. Access and the workflow supported for your site are agreed before the trial starts.

Practise before opening

Ask for a guided demonstration with the fictional practice workshop. Follow a lot forwards and backwards, see a gap, a correction and a recorded association, and save a run to a case. The sample is separate from your organisation’s datasets.

Choose two sources and a known case

Choose two sources that already record lot or serial numbers, for example material receipts and production or despatch records, and a past case whose answer you already know. The first trial needs:

  • A sample of each source file, with its columns or fields explained.
  • The data owner, permitted readers and retention basis for each source.
  • Which records are physical inputs and outputs, and which are only checks or references.
  • The known answer, including records you expect to be missing or corrected.

Agree the mapping

Your files are converted to LotTrail’s evidence format through a fixed, reviewed mapping agreed during onboarding. The mapping copies what each record states. It never guesses joins, orders records by time, adds up quantities or treats a missing row as a deletion. LotTrail accepts only the converted evidence files, after review.

Give people the right role

An organisation administrator arranges named access in SmartFACT Accounts. Setup, supervision, investigation and viewing are separate, and every reader also needs a grant for each dataset. A LotTrail role never gives access to another product’s records.

Agree how the trial ends

Agree the trial dates, support, recovery arrangements and what happens to the files at the end. Closing the site stops new work while keeping permitted reading and export. Deletion follows an explicitly agreed procedure, not an automatic retention schedule.

Keep enquiry data general

Use the enquiry form to describe the problem. Do not send source files, lot lists, defect reports, customer details or credentials there. We agree a suitable route for sample files during onboarding.

Practise finding a lot, reading a trace and recognising gaps. Office lessons cover bounded file intake, source review and investigation records.
